Service 05

Automation and integration

Process automation and system integration to eliminate rework, reduce human error, and provide visibility into your operation. From simple flows to orchestration across multiple tools.

[01]Automation and integration

What it can include

Every project is shaped around your company’s needs. The items below are examples of what this service commonly includes: the scope may combine some of them, all of them or others the operation requires, and it is defined with you during the assessment.

  • Manual process automation

Repetitive tasks currently relying on spreadsheets, email, or copy-paste are automated, with logging and full traceability.

  • System integration

Connecting ERPs, CRMs, e-commerces, spreadsheets, databases, and APIs to enable information flow without rework.

  • Approval and notification workflows

Clear rules defining who must approve each step, with automatic alerts via email, WhatsApp, or system notifications.

  • Data synchronization

Up-to-date records, inventory, orders, and statuses are maintained across different tools, preventing data discrepancies.

  • Custom bots and scripts

Automations tailored to your business processes when off-the-shelf tools do not address real-world cases.

  • Monitoring and alerts

Failures, delays, or inconsistencies are closely tracked, with immediate notification to those responsible.

  • Operational dashboards

Clear view of what is automated, failed executions, and processing volumes — no need for consolidated spreadsheets.

  • APIs and webhooks

Secure data exposure or consumption, enabling other systems to connect to your workflows.

  • Maintenance and evolution

Rule adjustments, new integrations, and ongoing monitoring after the initial deployment.

[02]Automation and integration

Who it is for

  • A business still moving data between systems manually (spreadsheet → system → email) and already facing costs from errors and delays.
  • An operation using several good but disconnected tools, losing time (and quality) trying to keep them aligned.
  • A team that needs reliable approvals and notifications without relying on someone to remember to inform others.
  • A growing business that does not want to hire more staff just for repetitive work that could be automated.
  • Those who tried generic automation tools and have reached the limits of customization or reliability.
  • A company valuing traceable processes, with records of all actions and clear responsibility for delivery.

Frequently asked questions

Do you use off-the-shelf tools (such as Make, Zapier, n8n), or do you develop from scratch?

We use whichever solution fits best. In many cases, a well-configured automation tool is sufficient. When volume, complexity, or criticality demand it, we develop custom solutions.

How long until the first workflow goes live?

Simple workflows typically go live in 2 to 6 weeks. More complex integrations or those involving several systems take longer — always with partial deliveries whenever possible.

What happens if a system changes (such as an API update or a rule change)?

This is covered in the maintenance contract. We monitor and adjust as needed to keep the workflow running.

Where is the automation hosted?

It depends on the criticality and client preference. It can run on Ascalon's infrastructure, on the client's, or on automation platforms. We decide together.

Do you document what was delivered?

Yes. Every delivered workflow comes with clear documentation describing what it does, the rules applied, and guidance on how to intervene if necessary.

Can we start small and scale up later?

Yes. Most projects start with one or two critical workflows and expand as operational confidence grows.

How is data security handled?

We treat access, credentials, and permissions with the same rigor as any system. Credentials are protected and access is controlled.

What happens if the automation fails?

We include monitoring and alerts. For critical cases, contingency plans and response responsibilities are established in the maintenance contract.
